Office Assistant

Minimum Qualifications (non negotiable):

  • Post Secondary education in administration
  • Minimum 2 years progressive administrative experience in a construction/service company
  • Proven ability to work well with multi-disciplinary team
  • Outstanding verbal and written communication skills
  • Competency in Microsoft applications, including Word, Excel, Outlook, and Powerpoint
  • Ability to work within stringent timelines
  • Sound background in providing superior administrative assistance in a fast paced construction/service environment
  • Documentation management, including preparation of tenders, proposals, quotations, and contracts
  • Must be extremely detail-oriented with respect to documentation and communication
  • Excellent interpersonal and presentation skills
  • Ability to handle multiple tasks at one time and still produce high quality results
  • Ability to work independently and under stress, to meet deadlines and perform effectively in emergency situations
  • High level of personal integrity
  • Focus on continuous learning and personal development through internal and external training
  • Strong critical thinking, and analytical abilities
  • Proven dedication to customer satisfaction

Job Description:

This position will be responsible for providing administrative assistance to the Management team. You will be responsible for planning, and coordinating various aspects of projects and services.

Responsibilities (not limited to):
      Reporting to the Office Manager – the Administrative Assistant will: 
  • Provide professional administrative assistance to the Management team 
  • Professionally answer and direct phone calls 
  • Maintain filing system 
  • Accurately create and maintain Microsoft Office documents
  • Effective communication with all members of the team, project managers, suppliers, technicians, and customers  Build positive relations with internal and external customers 
  • Prepare and distribute tenders/manuals/proposals/quotations/contracts
  • Review component requirements, request quotations, issue purchase orders, reconcile shipping documentation with invoice, process for payment  Maintaining project plans, schedules, budgets and expenditures
  • Efficiently schedule service team members 
  • Organizing attending and participating in meetings
  • Serve customer needs by addressing inquiries as required 
  • Track job progress and report accordingly
  • Familiarity with applicable government regulatory and safety requirements
  • Other duties as required
